The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the organization.
The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the organization. The role also supports the Public Relations and Programs teams by handling day-to-day administrative tasks, organizing documentation, and facilitating effective communication across departments.
Responsibilities
- Provide general administrative and clerical support to the line manager, team members, and organizational programs.
- Manage all forms of correspondence, including emails, phone calls, and official letters.
- Organize, maintain, and archive both physical and electronic files and documents.
- Coordinate meetings, prepare agendas, and take accurate meeting minutes.
- Support logistical arrangements for meetings, workshops, and events.
- Handle stationery requests and monitor office supplies inventory.
- Assist in preparing reports, presentations, and official communications.
- Ensure proper documentation control and archiving in line with organizational policies.
- Support HR-related tasks, including maintaining employee records and tracking attendance.
- Liaise with the Finance Department regarding invoices and basic administrative payments.
Qualifications
- Bachelor's degree in Business Administration, Public Relations, or a related field.
- 1–2 years of experience in administrative or office support roles.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Skills
- Experience in the humanitarian or NGO sector is an advantage.
- Strong command of English.
- Teamwork and collaboration skills.
